What is Notes Replication and how to create a local mailbox replica?


eplication is the process that Lotus Notes uses to keep copies of the same database synchronised with one another. In this context, your mailbox on the server is consider a database.

Instead of accessing your Notes Mailbox (mail database) on the server every time you are trying to read your mail, create a new message, etc. you could create a twin copy (Replica) of the mail database and store it on the hard drive of your home computer or your laptop. After you do that, you could connect to the server only to download the mail from the server copy to your local copy (replicate your mailbox) and you will be able to read your mail, compose new messages, etc. in the "off-line mode", i.e. being disconnected from the server. Once in a while you will be connecting to the server for few minutes to synchronise (replicate) the two copies of your mail database. Replication will download all your new messages from the server copy into your local copy and upload newly created messages from your local copy to the server copy.

By default, the setup of the Lotus Notes software on your computer does not create a local replica of the mail database. If you would like to start using local replica of your mail file, you will need to manually create it following these steps


1. Launch Lotus Notes (this document uses screen captures from Lotus Notes 9.0.1)

2. Open your mailbox using the icon on you workspace or bookmark icon

2. Select "Replication -> New Replica" from the "File" menu

3. If you want your local replica to be accessible even after your University ID expires, uncheck the box next to "Encrypt the replica using...". Otherwise, accept the defaults for the new replica and click OK to confirm the creation of the new replica on the local workstation (see figure 2).
